Overview of Reports Related to Users

The report generation function is only available to users with appropriate permissions.

USERS HISTORY EVENTS

The "Users History Events" report provides you with information about user activities in the system.

The report is presented in the form of a list of individual events. We can find information such as the user's first and last name, login, event name, channel, device IP address, event creation date, and duration.

To get more details about a specific action, click on the magnifying glass icon in the "Action" column. A window with more detailed information on this topic will open.

The report allows you to display data within a specific time range, assigned to a specific user, channel, or type of event. This allows you to precisely customize the report view to your own needs.

TIME USER REPORT

The "Time User Report" presents a summary of actions performed by each user in the system.

In the columns, you can find information regarding:

  • Logins: Informs about the number of user logins to the system.
  • Logins by mobile: Shows the number of user logins via phone mobile app.
  • Leads: Shows the number of leads assigned to the user.
  • New clients: Informs about the number of new customers acquired by the user.
  • Phones: Indicates the number of phone calls made by the user.
  • Mobile call logs: Shows the number of call logs registered by the user.
  • Mobile call logs - minutes: Informs about the total duration of call logs in minutes.
  • Tasks: Shows the number of tasks performed by the user.
  • Meetings: Indicates the number of meetings conducted by the user.
  • Emails: Informs about the number of emails sent by the user.
  • Res.: Shows the number of oral reservations made by the user.
  • Letter of intent.: Shows the number of reservation agreements signed by the user.
  • Preliminary and final agreements: Informs about the number of preliminary and final agreements signed by the user.
  • Receipt: Indicates the number of notarial deeds signed by the user.

To obtain more detailed information, click on the numbers in the report. Then you will see more precise data related to a given activity.

The report allows filtering data within a specific time range, assigned to a specific user, concerning a selected activity or a specific status, as well as related to a selected investment. This allows you to precisely adjust the report view to your own needs and analyze the effectiveness of users' work.

USER REPORT

The user activity report presents a summary of performed actions. You have the possibility to generate data from a selected time period.

The report consists of various sections, each containing information about the number of activities with a given status and detailed information.
Sections included in the report are:

  • Calls: Shows the number of conducted and planned phone calls and provides additional information about each call.
  • Meeting: Presents the number of completed and planned meetings, as well as those that were planned but did not take place. It also provides detailed information about them.
  • Task: Displays the number of completed tasks, not started tasks, and those for verification, and contains detailed information about each task.
  • Notes: Shows the number of created notes of types such as company, phone, planned email, and allows access to the content of each note.
  • Emails: Shows the number of sent email messages and allows viewing details of each email.

With this report, you can track your activities and get more detailed information about actions performed in the CRM system.

ACTIVITY REPORT

The activity report presents a summary of actions taken by advisors in contact with customers.

In the generated report, you can read the following information:

  • Contact type: Specifies the type of activity that took place, for example, a meeting, phone call, email, etc.
  • Person: Indicates the first and last name of the person with whom the activity took place.
  • Contact ID: Identification number of the customer with whom the activity was undertaken.
  • API ID: Unique identifier assigned to the activity related to the customer.
  • Meeting date: Date when the meeting or other activity took place.
  • Source: Informs where the customer comes from or how they were acquired, for example, from advertising, recommendation, or website.
  • Contact method: Indicates how the communication took place (e.g., office visit, by phone, via contact form).
  • Agent: First and last name of the user responsible for the activity.
  • Created by: Informs who exactly created the given activity.

With this report, you can track and analyze activities undertaken in contact with customers, which enables better relationship management and monitoring of advisor activity effectiveness.

MEETING ORIGIN REPORT

The "Meeting Origin Report" contains information about meetings that have already taken place or have been planned.

The summary provides the following information:

Person with whom the meeting is/was planned
Customer creation date and ID
Investment: Informs about the name of the investment related to the meeting.
API ID: Unique identifier assigned to the meeting related to the customer.
Meeting date: Specifies the date of the planned or held meeting.
Meeting place: Indicates the place where the meeting took place.
Meeting number
Status and purpose: Informs about the current status of the meeting (e.g., planned, took place) and its purpose.
Customer source of origin: Indicates where the customer comes from or how they were acquired.
Contact method: Informs about the way in which the meeting took place (e.g., office visit, by phone, via contact form).
Advisor: First and last name of the advisor responsible for the meeting.
Person creating the activity: Indicates the person who created the meeting.

Generated data can be filtered using the available top panel, which makes it easier to search and analyze information related to meetings.
With this report, you can track the meeting schedule, manage them, and monitor their status and objectives.

COMMERCIAL ACTIVITY REPORT (TRADE ACTIVITY)

The sales activities report includes various activities, such as:

  • Creation of a new customer,
  • Phone conversation,
  • Meeting,
  • Creation of a verbal reservation,
  • Reservation agreements, developer agreements, preliminary or final agreements,
  • Signing of a notarial deed,
  • Service request,
  • Property reception,
  • Customer expiration,
  • Change of customer status.

For each activity in the report, information is available regarding the date, customer data, advisor, investment, property, and source of origin. Additionally, the report contains notes related to a specific activity.

Clicking on customer data in the report will open a subpage with that customer's card.

CUSTOMER SERVICE REPORT

The customer service report provides you with information regarding the speed of service for each customer. Each row of the report contains data about a specific customer, such as personal data, identifier (ID), assigned advisor, and customer status (e.g., new, interested, reservation agreement, etc.).

From the report, you can read the following information:

  • Lead and contact creation date: Informs about the date of creating a potential customer (lead) and the date of converting them into a customer.
  • Date of the first email
  • Phone date after first email was sent
  • Date of the first phone
  • Date of the first meeting
  • Last activity: Shows the date and type of the last activity with contact undertaken as part of customer service.

On the right side of the report, there is a chart that presents the duration of individual activities in minutes:

  • Minutes from lead to client
  • Minutes to first email
  • Minutes since first email to phone after email
  • Minutes to first phone
  • Minutes to first meeting
  • Minutes to first read mobile call

The report allows filtering data within a specific time range, assigned to a specific advisor, or with a selected customer status. There is also an option to skip weekends in the calculation of minutes.

Clicking on customer data in the report will open a subpage with that customer's card.

With this report, you can monitor customer service time, track progress in the sales process, and adjust activities to ensure effective customer service.

DAILY CONTACTS REPORT

The daily customer report presents a summary of actions concerning customers divided into individual days of the week.

Each day is presented along with the exact date and contains information about:

  • New clients: Shows the number of customers who were added to the system on a given day.
  • New meetings: Informs about the number of meetings registered on a given day.
  • New phone calls: Shows the number of phone calls that were registered in the system on a given day.
  • New letters of intent, developer/preliminary agreements: Shows the number of signed agreements

The report allows filtering data within a specific time range, assigned to a specific advisor or a specific investment. This allows you to adjust the report view to specific needs and track activities related to customers in a selected time range and context.

The daily customer report allows you to monitor ongoing activities related to customers and provides information about new customers, meetings, phone calls, emails, and signed agreements.

SELLERS REPORT

The "Sellers Report" is divided into specific projects, and in each project, there is a summary of signed agreements with details.

The maximum period from which a summary can be generated is 365 days.

The generated report consists of sections, where each section corresponds to a different project. Within each project, there is information about signed agreements. For each agreement, data is available about the customer who signed the agreement, signing date, information about the building, unit number, area, price per square meter, total agreement value, commission amount, customer origin, and supervisor. The report also contains additional information about the unit, such as the number of parking spaces (single, family, above-ground), the number of the storage room and its area, as well as information about the locker.

Clicking on the type of agreement will open a subpage containing details about this agreement.

The report allows filtering data within a specific time range, assigned to a specific investment, building, stage, or sales representative, as well as displaying data about a specific type of agreement.

With this report, you can analyze in detail the activities of sales representatives, monitor signed agreements, track information about customers, and manage data related to the unit and agreements.

DAILY USER ACTIVITIES REPORT

The daily user activity report presents detailed information about the activities of individual users. The generated report is presented in the form of a list, where each row refers to a specific user.

Information contained in the report includes:

  • Letters of intent signed,
  • Converted leads,
  • Expired leads,
  • Mobile app logins,
  • Outgoing calls,
  • Outgoing calls time,
  • Incoming calls,
  • Incoming calls time,
  • New activities,
  • Expired activities,
  • Registered activities,
  • Scheduled activities,
  • Finished clients,
  • First meetings,
  • Next meetings,
  • Offers sent,

Clicking on the displayed data will open a window with details about the given activity or action.

The report allows filtering data within a specific time range or by a specific user. This allows you to adjust the report view to your own needs and track user activities in the selected time and context.
