Overview of Reports Related to Lead and Customer Service

The report generation function is only available to users with appropriate permissions.

Analyzing the effectiveness of actions in individual marketing channels through reports can provide valuable information about the efficiency of these activities. The voxCRM program offers a wide selection of reports that allow you to track traffic sources, informing you where your customers come from.

After logging in to the voxCRM system and clicking on the "Reports" tab, you will find numerous summaries available for generation. Access to reports may depend on the permissions of a given user.

In each report, you can select the date range, investments that are included in the summary, and other parameters.

If needed, there is also the possibility to export each report to Excel format, which will facilitate further data analysis. To generate a report in .xls format, first search for the data of interest, and then click the Excel icon in the upper right corner, right next to the search button.

LEADS REPORT

The leads report provides you with data related to leads and customers through clear tables and charts. Thanks to this combination, the report provides various tools for data presentation and makes it easier for you to understand and interpret information in an intuitive way.

Lead Details

When you click on "Details," you will see information about individual leads, such as data of the person associated with the lead, email address, acquisition source, status, classification, creation date, advisor to whom the lead was assigned, and conversion information. From this location, you can also check information about the lead, such as general data, contact details, address, consents, preferences, and add a description. In the upper right corner, there are icons such as mail, which allows you to send an email, and the "Change History" icon, which displays the history of information modifications for a given lead.

Leads By Branch

This section presents information about the number of leads assigned to individual branches. You will also find information about the number of converted and linked leads, as well as the number of deleted leads.

Leads By User

The report generates the number of leads assigned to specific advisors, divided into converted and linked, as well as deleted.

Leads By Source

The section presents leads according to different acquisition sources. Similar to the previous section, you can obtain information about the number of converted, linked, and deleted leads.

Leads by status

The section provides information about the number of leads with a given status, e.g., new, converted, deleted, or linked.

Leads by removal reason

Here you can find a list of reasons for lead deletion along with their number.

Leads by conversion

The chart presents a numerical breakdown of leads into converted and linked, as well as non-converted.

Report the amount of added leads over time

This section presents the number of leads added on individual days, divided into converted, related, and deleted.

Contact method

The section presents the number of leads sorted by contact types.

CONTACT SOURCE REPORT

The source of origin report is a key tool in the CRM system that provides important information about the sources from which new customers come and what their current situation is in the sales process (e.g., which leads have turned into agreements). It includes an exact breakdown by different source categories, such as internet, intermediaries, or other sources. It also provides detailed data on individual marketing channels such as UTM tags, which provide information about the exact origin of the lead.

The report contains detailed information about the number of leads from individual sources. Within this information, you can see how many direct customers there were, how many meetings took place, how many verbal reservations were made from a given channel, and also how many contracts were signed.

The source of origin report is an extremely helpful tool that allows for a better understanding of which sources translate into specific meetings, reservations, and contracts in your company. With it, you can focus your marketing activities on the most effective channels and maximize your results.

Detailed Data

You can click on a given number in a row to display detailed information about contracts or customers represented by that number. For example, if you click on a number representing signed contracts, you will see a list of these contracts along with their numbers, investment, and signing date.

Filtering

The report allows you to display data from a specific time range and filter them based on criteria such as contact method, types of contracts, and investments for which inquiries were received.

Available Filters:

  • Agent - select a specific user to see only their customers.
  • Contact method - select the type of contact to see through which the customer was acquired, e.g., phone, form, office visit.
  • Agreement type - e.g., verbal reservation, developer agreement, preliminary, reservation.
  • Investments - to see data concerning a specific investment, select it from the list.

The generated report contains the following information about customers:

  • Source: specific sources (portals, websites) from which potential customers come are listed there.
  • Amount of leads: represents the number of all leads meeting filtering criteria.
  • Amount of direct contacts: the number of leads manually entered into the system by advisors.
  • Amount of meetings: the number of meetings that took place with customers.
  • Amount of reservation: the number of reservations made by customers.
  • Types of contracts signed with a given customer: information about the types and number of contracts signed by customers coming from a given source.

The displayed information contains data from the system in the selected time period. There may be differences in the number of leads and customers.

ADVISOR AND LEAD REPORT

The report provides valuable data that can be used to assess the effectiveness of advisors' actions and identify the best sources of leads. It is a useful tool in the process of optimizing activities and improving marketing strategies.

Filtering

The report allows you to display data from a specific time range and filter them based on various criteria, such as advisor, lead source, and specific project.

Report Details

The report contains information about the number of leads, customers, and the number of interactions taken. The data is divided by individual advisors. Thanks to the "Sources" filter, you can check the interactions of specific advisors with a group of customers coming from a selected portal or website.

Detailed Data

The report provides you with easy access to specific information. Just click on a number in the appropriate row to get detailed data about a given customer. After clicking on a number, additional information about the customer will appear. You will learn from which exact source the customer comes, which advisor is responsible for their service, and when the last activity related to this customer took place.

LEAD COMPARISON REPORT

The report allows you to analyze and monitor various aspects of the lead generation and customer management process. You can quickly see how many leads have been deleted, how many leads have been linked, and how many new customers have been acquired both through leads and directly entered into the CRM system. In addition, the report provides you with information about the number of first meetings, which helps track the activity of advisors in establishing contacts with customers, and the number of reservation agreements, which allows you to assess the effectiveness of the sales process.

Filtering

The report allows you to display data from a specific time range and project. If you are focusing on a specific project, you can use the filter to display only data related to that project.

Data Presentation

The data in the report is presented with a breakdown by individual months.

LEAD SOURCES REPORT

The report presents a monthly summary of the number of leads according to various sources of their origin. Thanks to it, you can analyze where individual leads come from and which sources are most effective in generating leads.

Data Filtering

The report allows you to select a specific time period and gives you the option to filter data based on a specific project or customer source of origin.
The report panel includes a useful button called "Show only groups." After clicking it, customer sources of origin will be hidden, and the data will be summed up for individual groups. This makes the report more transparent and focuses on data analysis in the context of larger groups.
For example, all websites that are different sources of customer origin will be included in one group called "Internet."

Report Details

The report generates a clear summary of the number of leads in individual months, taking into account the source from which they come. Thanks to this, you can easily see how many leads were generated in a specific month from a specific source.

LEAD SOURCES REPORT - DETAILED

The report on the sources of lead origin in the detailed version also contains information about the number of leads in individual months. Additionally, the detailed report is expanded with additional columns such as new leads, linked leads, and converted leads.

LEAD EFFECTIVENESS REPORT

The report presents the division of leads into specific sources assigned to individual advisors, focusing on their effectiveness.

Data Filtering

The report allows you to filter data by date, source of origin, branch, advisor, and investment. The "include deleted leads" button allows you to include or omit deleted leads in the report results.

Report Details

The generated report presents the division of leads into different sources that are assigned to specific advisors. For each source, information is available regarding the number of leads, the number of customers (both unique and completed), and the number of different types of contracts along with the gross amount. Types of contracts include reservation agreements, developer agreements, preliminary agreements, and sales agreements.
At the bottom of the report, you will find summed information divided into individual sources of origin, which facilitates the analysis of lead effectiveness. This data can be useful for assessing the effectiveness of marketing and sales activities and making appropriate decisions.

LEAD SERVICE REPORT

The report generates information about leads and activities related to them. Thanks to detailed information, the report enables data analysis and monitoring of interactions with customers.

Data Filtering

This report allows for filtering data based on various criteria, such as the lead creation date, the number of hours to the first email from the moment of linking the customer, advisor, and lead status. Thanks to this, you can precisely adjust the report to your needs and analyze specific data segments.

Report Details

The generated report contains information about leads, including their names with identifiers. The report also shows the advisor who handles a given lead, and its status, e.g., new, converted, linked, or deleted. The next columns of the report contain the lead creation date, the date of linking the lead with the customer, the date of the first email from the moment of linking the customer, and the number of hours from the moment of linking the customer to receiving the first email.

LEADS AND CLIENTS REPORT

The report presents an analysis of the effectiveness of lead sources according to individual advisors. Additionally, you will find information about the total number of customers acquired by a given advisor and the number of interactions performed. Thanks to such a report structure, you can easily assess how effective individual lead acquisition sources are for each advisor.

Data Filtering

To generate a report on leads and customers, you can use various filters. These filters allow for precise determination of criteria such as advisor, lead source, classification (e.g., individual customer, investment, not interested), creation date, or specific investment. Thanks to them, the report will contain only the information you need.

Report Details

The generated report is divided into rows containing individual advisors, and the columns take into account different sources of origin. For each advisor, you can see the effectiveness of individual sources. These sources are additionally divided into the number of leads and unique customers. On the right side of the report, there is information about the total number of customers acquired by a given advisor, the number of customers with reservation agreement status, and the number of meetings and phone calls held. Thanks to this layout of the report, you can easily analyze the effectiveness of lead sources for individual advisors.
