AI Chatbot (Development Assistant)

The AI Chatbot is an intelligent assistant embedded on the development's public website. It answers visitors' questions around the clock — about available units, prices, timelines or documents — using the knowledge prepared in the voxDeveloper CRM system panel. The feature is made available to developers using voxCRM at no additional cost.

💡 In brief: The AI Chatbot independently answers website visitors 24 hours a day, and the conversations can be saved in voxCRM as leads.

1. What is the AI Chatbot?

The AI Chatbot appears on the website as a round button in the bottom right corner (it can also be placed on the left side). After clicking it, the visitor opens a chat window and can ask questions in their own words, just like in a conversation with a consultant.

The chatbot's key features:

  • Round-the-clock availability — it responds regardless of the sales office's working hours.
  • Fast responses — an answer appears within a few seconds.
  • Multilingual support — the chatbot recognizes the visitor's language and responds in the same language (including Polish and English). It is also possible to ask the assistant to switch languages during the conversation.
  • Light and dark mode — the appearance of the window adapts to the visitor's preferences.

 


2. Where does the chatbot get its knowledge?

The chatbot answers based on a knowledge base configured in the administration panel of the voxCRM system. The administrator on the developer's side decides what information the assistant should know. The following knowledge sources are available:

Knowledge source Description
Questions and answers (FAQ) Ready-made question–answer pairs, e.g. frequently asked questions about the development.
Offer description A text description of the development, its location, amenities and terms.
Websites The content of a specified website, retrieved based on the provided address (URL).
PDF documents Uploaded documents (e.g. descriptions, informational materials) in PDF format.
Unit data Up-to-date information about units retrieved automatically from the voxCRM system — including availability, floor area, price, status and the assigned development.
💡 Tip: Unit data is retrieved from the system on an ongoing basis, so the chatbot answers based on the current offer without the need to manually update the knowledge base.

3. Customizing the appearance and content

The chatbot's appearance and greeting can be adapted to the developer's website. Configuration is done in the voxCRM system panel or together with the support team. Among other things, it is possible to set:

  • the assistant's name displayed in the window header (e.g. "Development Assistant"),
  • the greeting — the first message displayed after opening the window,
  • the logo presented in the chat window,
  • the primary color matched to the website's visual identity,
  • the button's position (bottom right or bottom left corner),
  • suggested questions displayed at the start, making it easier to begin the conversation.

4. Privacy and consents

The chatbot has been prepared with visitors' data protection in mind:

  • Consent to the processing of the conversation — before the conversation begins, the visitor is informed about the processing of the conversation content.
  • Information about the nature of the responses — the chat window displays a notice that the answers are generated by artificial intelligence and that, in case of doubt, it is worth contacting the developer directly.
⚠ Note: The chatbot's responses are auxiliary in nature and may contain simplifications. In binding matters (e.g. the final price, the availability of a specific unit, the terms of the contract), the information confirmed by the developer's sales office remains binding.

5. How to launch the chatbot on your website?

Launching the chatbot on a website involves the following steps:

  1. Preparing the knowledge base — in the voxCRM system panel, complete the information the chatbot should know (FAQ, offer description, website addresses, PDF documents). Unit data is retrieved automatically from the system.
  2. Providing the website address — the address (domain) of the website on which the chatbot is to operate should be provided to the support team so that it can be added to the list of allowed sites.
  3. Embedding the chatbot on the website — the support team prepares a short code snippet that should be placed in the website's code just before the closing </body> tag. Once it is added, the chatbot appears on the website automatically.

💡 Tip: After embedding the chatbot, it is recommended to ask a few test questions to confirm that the assistant answers correctly and knows the current offer.
